An established real estate investment company in Dallas is seeking to hire a talented Administrative Assistant for their team. This position works directly in the Office of the Chairman and reports to the Executive Administrative Director (EAD). Ideal candidates for this position will have strong communication skills, a keen attention to detail, and the ability to maintain a high level of confidentiality.

This role is fully in-office.

Requirements:

To apply, candidates must have a minimum of 5 years of experience in a similar administrative role within a professional or corporate environment. While we are open to various industry backgrounds, the experience of working in a fast-paced, structured office, and supporting high-level executives, is imperative for success in this role. A Bachelor’s degree is preferred but not required.

Must be proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint, Access) and Internet Explorer/Chrome.

Duties will include, but are not limited to:

  • Assist the EAD with research and preparation of briefing materials for meetings, travel, and speaking engagements
  • Assist the EAD with reservations for both personal and business travel, including transportation and accommodations
  • Receive correspondence and mail, direct, log, or flag as appropriate
  • Create and maintain files and records for historical and informational reference
  • Receive and log all invitations/contribution requests to be presented at the weekly scheduling meeting
  • Assist with ordering lunch and setting up coffee as needed
  • Register, greet, and escort guests as needed
  • Answer phones, maintain phone logs, place calls
  • Maintain business and personal contacts
  • Maintain documents reflecting confidential personal data
  • Archive and download personal/business photos
  • Order personal/business items
  • Prepare reports as requested
  • Communicate with various household staff members
  • Participate in weekly scheduling meetings
  • Provide back-up support to the EAD when needed

Schedule: M-F, 8:30-5:30 with the understanding there will be overtime when needed.

Location: Uptown Dallas, Texas.

Pay: Up to $85,000 (possible flexibility DOE), + excellent benefits + bonus structure
