A prominent organization in Tampa, Florida, is seeking an experienced Executive Personal Assistant to support its CEO. This fully onsite role is ideal for a high-performing professional with a proven track record of supporting CEOs in fast-paced environments such as Fortune 500 companies, investment banking, private equity, or venture capital. The ideal candidate must exhibit exceptional organizational skills, a proactive mindset, and a 24/7 mentality to manage both professional and personal responsibilities. 
 

Key Responsibilities

Administrative Support
  • Manage an extremely active and complex calendar of appointments.
  • Prepare and submit accurate expense reports.
  • Draft, review, and prepare confidential correspondence.
  • Coordinate complex travel arrangements, including itineraries and agendas, and compile necessary travel documents.
Schedule & Relationship Management
  • Act as a gatekeeper, ensuring the CEO’s time and schedule are managed effectively.
  • Plan and coordinate meetings to ensure alignment with organizational priorities.
  • Build and maintain strong relationships with staff, board members, vendors, and external partners.
Communication & Presentation
  • Communicate directly on behalf of the CEO with board members, donors, vendors, and external stakeholders.
  • Prepare polished PowerPoint presentations for Board Meetings and Vendor Councils.
Personal Assistance
  • Coordinate the CEO’s social and family obligations, including after-hours scheduling.
  • Manage personal residential properties and liaise with vendors as needed.

Qualifications

  • Direct experience supporting a CEO or other high-level executive in a Fortune 500 company or similar fast-paced industry.
  • Superior organizational skills with exceptional attention to detail.
  • Outstanding interpersonal skills to manage relationships with stakeholders at all levels.
  • Expert-level written and verbal communication abilities.
  • Proactive problem-solving skills and a resourceful approach to challenges.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Ability to prioritize and manage multiple tasks in a dynamic environment.
  • Proficiency in Microsoft Outlook for managing calendars, scheduling, and email correspondence.

Position Requirements

  • Full onsite presence in Tampa, Florida, Monday through Friday.
  • Availability to be on call outside of regular business hours, including weekends.
  • Open to candidates willing to relocate.

Compensation & Benefits

  • Competitive base salary of $150,000 - $175,000, plus bonus eligibility.
