A leading NY-based investment firm is seeking a highly skilled and experienced Executive Assistant to support its Washington, D.C. office. This role will support a dynamic team of professionals, ranging from junior associates to senior leadership. The ideal candidate will have at least 8 years of administrative experience within the Private Equity, Venture Capital, Hedge Fund, or Mergers & Acquisitions sectors.
Key Responsibilities
Executive Support

Complex Calendar Management: Schedule and manage meetings across multiple time zones, ensuring seamless coordination with internal teams and external stakeholders.

Travel Coordination: Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.

Expense Management: Prepare and process expense reports accurately and in a timely manner.

Administrative Support: Assist with document preparation, meeting materials, correspondence, and ad hoc administrative duties as needed.

Team Collaboration: Act as a liaison between team members, ensuring effective communication and alignment across varying seniority levels.
Office Coordination & Operations

Supply & Inventory Management: Order and maintain stock of office supplies, paper, snacks, and other essentials to ensure a well-equipped workplace.

Reception & Guest Management: Serve as the first point of contact for visitors, providing a professional and welcoming office environment.

Office Organization: Ensure common areas, conference rooms, and kitchen spaces are clean, stocked, and well-maintained.

Vendor & Facilities Coordination: Liaise with building management and external vendors to oversee office maintenance, repairs, and deliveries.
Qualifications

8+ years of executive administrative experience supporting teams in Private Equity, Venture Capital, Hedge Funds, or Mergers & Acquisitions.

Proven ability to handle complex calendars and manage frequent, last-minute changes with grace and efficiency.

Experience coordinating global travel and preparing detailed itineraries.

Strong organizational skills with a keen eye for detail and a proactive approach to problem-solving.

Exceptional communication and interpersonal skills, with the ability to build relationships at all levels.

Salary- $115,000-$120,000 w/ benefits
