We are seeking a Senior Executive Assistant to provide high-level administrative support to our client an Executive Director (ED) and the Executive Team of a notable museum. This role will ensure smooth day-to-day operations and effective communication across departments. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. Looking to hire ASAP!
Key Responsibilities:

  • Administrative Support: Manage the ED’s complex schedule and calendars, coordinate meetings with detailed agendas, and handle email correspondence on their behalf.
  • Travel Coordination: Arrange and oversee the ED’s domestic and international travel, including transportation, accommodations, and itinerary management, while reconciling travel expenses.
  • Communication & Liaison: Act as a key point of contact between the ED, internal departments, and external stakeholders, ensuring seamless communication and collaboration.
  • Project Management: Support special projects by conducting research, managing timelines, and providing regular updates.
  • Event & Donor Support: Partner with the Director of External Affairs to facilitate the ED's involvement in donor cultivation, sponsorship activities, and event coordination.
  • Strategic Oversight: Identify process improvements, support organizational policy implementation, and flag potential issues requiring director-level attention.
Requirements:
  • Education: Bachelor’s degree in business administration, arts administration, or related field required; advanced degree preferred.
  • Experience: 5-7 years of progressively responsible executive-level support, ideally in a cultural or nonprofit organization.
Skills:
  • Exceptional organizational and multitasking abilities with strong attention to detail.
  • Outstanding written and verbal communication skills.
  • Proven discretion and sound judgment in handling confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
  • Strong interpersonal skills, with the ability to build relationships at all levels.

Flexibility: Willingness to occasionally work evenings and weekends for special events or time-sensitive projects.

Compensation: Salary: $100,000 – $105,000 annually. Competitive benefits package, including insurance, paid time off, and other perks.

Location: Open to candidates based in Aspen, CA, or fully remote candidates. Remote candidates MUST be able to work 7:30-4:30 pm MT. Remote candidates

MUST also have prior experience working with art galleries, museums, or similar.
