A luxury hospitality company based in  Newport Beach is seeking a highly polished and professional Executive Assistant to provide comprehensive support to its Founders. This role requires a proactive individual with a 24/7 mentality, strong organizational skills, and a heart of service.

The ideal candidate will have a background in hospitality, the ability to anticipate needs before they arise, and a refined, client-facing presence.

Responsibilities:

  • Manage complex executive calendars, including scheduling meetings, appointments, and events.

  • Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.

  • Prepare, process, and reconcile expense reports in a timely manner.

  • Serve as a liaison between the Founders and clients, vendors, and business partners, ensuring smooth communication and follow-through.

  • Assist with QuickBooks (preferred) and other administrative tools for tracking expenses and vendor payments.

  • Provide light personal support to the Founders, including errands and personal scheduling.

  • Uphold the highest level of discretion, confidentiality, and professionalism.

  • Deliver exceptional service through an anticipatory mindset, ensuring the Founders’ needs are proactively addressed.

Qualifications:

  • 7+ years of experience as an Executive Assistant, preferably within luxury hospitality or a high-touch service industry.

  • Strong background in hospitality or luxury service environments with proven ability to anticipate needs.

  • Polished, professional presence with excellent verbal and written communication skills.

  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.

  • Proficiency in Microsoft Office Suite; QuickBooks experience preferred.

  • Flexible and available with a 24/7 mentality to support the dynamic needs of the Founders.

  • Discreet, trustworthy, and able to maintain strict confidentiality.

Location: Fully onsite in Newport Beach, CA

Salary: $120,000-$140,000 DOE
