We are seeking a highly organized, proactive Office Manager to support day-to-day office operations for an innovative software and AI company opening its New York City office. This is a hands-on role ideal for someone who enjoys building structure, takes direction well, and is excited to grow alongside a fast-scaling team.

This role will be instrumental in establishing a welcoming, efficient, and well-run workplace as the office scales. Over time, there is potential for this position to expand into Executive Assistant responsibilities, supporting leadership as the organization grows.

Responsibilities

Office & Workplace Management

  • Oversee daily office operations and ensure a professional, welcoming, and well-organized environment

  • Manage office supplies, inventory, and vendor relationships

  • Coordinate facilities needs, maintenance issues, and service providers

  • Support office growth and space planning as headcount increases

People & Culture Support

  • Partner with HR leadership and the founder on in-office needs

  • Coordinate team meetings, events, and occasional office gatherings

  • Help foster a positive, collaborative office culture

Administrative Support 

  • Provide administrative support to in-office leadership as needed

  • Assist with scheduling, meeting coordination, and light calendar support

  • Prepare documents, meeting materials, and internal communications

  • Take on additional EA-style responsibilities over time as the leadership team expands

Process & Organization

  • Maintain office documentation and procedures

  • Identify opportunities to improve operational efficiency

  • Support onboarding logistics for new hires joining the NYC office

Requirements

  • 5–6 years of experience in an Office Manager, Executive Assistant, or similar administrative role

  • Background as an EA or strong administrative professional preferred

  • Highly organized with strong attention to detail

  • Comfortable taking direction, learning quickly, and being mentored

  • Strong interpersonal and communication skills

  • Ability to thrive in a growing, fast-paced environment

  • Proficiency with tools such as Google Workspace, Slack, Notion, and expense reporting systems

  • Experience supporting office openings or growing teams is a plus

Schedule
Full-time, Monday–Friday
On-site role with an 8:30 AM start time

Compensation
$130,000–$150,000 base salary, depending on experience
