We are seeking a strong EA/Office Manager to assist our client a highly regarded, fast-paced investment firm. This role will support a small group of senior Partners while also overseeing key office management responsibilities within a New York office. This role is ideal for a polished, proactive professional who thrives in a dynamic environment and enjoys balancing high-level executive support with hands-on operational oversight. The right candidate is exceptionally organized, detail-oriented, and responsive, with strong judgment and the ability to anticipate needs. This individual will act as a trusted partner to senior leadership while ensuring a seamless and elevated office experience for the broader team. This is an excellent opportunity for a high-performing Executive Assistant who enjoys being deeply embedded in a collaborative, fast-moving environment while playing a key role in both executive support and office operations. This role will start out as a temporary employee and go permanent after the probationary period.

Responsibilities:
Executive Support
  • Manage complex, ever-changing calendars with a strong understanding of business priorities
  • Coordinate internal and external meetings, ensuring all logistics are handled seamlessly
  • Arrange detailed domestic and international travel, anticipating needs end-to-end
  • Prepare meeting materials, maintain organized records, and handle confidential information with discretion
  • Process and track expense reports in a timely manner
  • Serve as a key point of contact for internal and external stakeholders, including clients and their assistants
  • Assist with occasional personal tasks and external commitments as needed
  • Proactively communicate updates, manage priorities, and problem-solve with sound judgment
Office Management & Operations
  • Oversee day-to-day office operations in a shared workspace environment, liaising with facilities, IT, and building services
  • Manage mail, deliveries, guest coordination, and conference room scheduling to ensure a polished experience
  • Support meeting logistics, including AV setup and troubleshooting as needed
  • Coordinate in-office presence and logistics aligned with team needs, including investor meetings and team collaboration days
  • Assist with planning internal events, team gatherings, and offsites
Requirements:
  • 6+ years of experience supporting senior executives in fast-paced, high-performance environments
  • Prior experience in finance, venture capital, private equity, or professional services strongly preferred
  • Exceptional communication skills with a polished, professional demeanor
  • Highly organized with strong attention to detail and follow-through
  • Adaptable, calm under pressure, and able to pivot quickly as priorities evolve
  • Strong proficiency in Microsoft Office and collaboration tools (e.g., Slack, Zoom, Teams)
  • Team-oriented with a “no task too big or too small” mindset

Hybrid schedule, with approximately four days per week in-office in Hudson Yards, NY
