A warm, respectful private family is seeking a polished, highly organized, and service-oriented Personal Assistant to become a trusted extension of their household in New York City. This is a dynamic role for someone who genuinely enjoys balancing high-level administrative support with hands-on household management and personal assistance. One moment you may be coordinating complex travel or planning an event; the next, you may be preparing a residence for the family's arrival, restocking the refrigerator, overseeing a home delivery, or ensuring a vehicle is serviced. The ideal candidate is proactive, resourceful, and exercises exceptional judgment. They thrive in a collaborative environment, naturally anticipate needs, and approach every task, large or small, with the same level of professionalism and enthusiasm. Responsibilities:
- Manage day-to-day personal, household, and lifestyle operations for the family
- Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, reservations, and pre-arrival preparation
- Oversee multiple residences, ensuring each home is maintained to the highest standard and fully prepared before the family's arrival
- Coordinate vendors, contractors, property managers, and household staff across multiple properties
- Handle household administration, including bill payment, expense tracking, reimbursements, and service scheduling
- Manage calendars, appointments, medical scheduling, family logistics, and ongoing household projects
- Plan and coordinate entertaining, holiday celebrations, gifting, and special events.
- Run errands, coordinate deliveries, stock household essentials, oversee vehicle servicing, and provide hands-on local support as needed
- Manage household groceries and pantry inventory, discover exceptional local markets and specialty vendors, keep healthy staples stocked, coordinate meal-related logistics, and help create an environment where healthy living feels effortless for the family
- Research products, services, restaurants, vendors, and creative solutions to support the family's evolving needs
- Assist with technology support, digital organization, Canva or presentation updates, and miscellaneous administrative projects when needed
- Represent the family professionally in all interactions while maintaining the highest level of discretion and confidentiality.
- Anticipate needs, solve problems independently, and continually look for ways to improve household efficiency
Requirements:
- 5+ years supporting a UHNW principal, executive, or private family as a Personal Assistant, Executive/Personal Assistant, or Household Manager
- Experience managing vendors, residences, household logistics, and personal operations
- Strong organizational and project management skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Outstanding judgment, professionalism, and discretion
- Tech-savvy with proficiency in Google Workspace, Apple Calendar, and common productivity platforms
- Familiarity with Canva and willingness to assist with light creative and administrative projects
- Strong knowledge of New York City vendors, restaurants, services, and lifestyle resources preferred
- Warm, calm, and emotionally intelligent
- Polished without being overly formal
- Exercises excellent judgment and enjoys solving problems independently
- Collaborative and comfortable making thoughtful recommendations rather than simply taking direction
- Adaptable, resourceful, and energized by a role where every day is different

- Takes pride in representing the family with professionalism, warmth, and integrity in every interaction
- An interest in wellness, nutrition, and quality food is a plus
Schedule: Full-time with flexibility. This is mostly a remote position with flexibility to work from home, while remaining available to visit the family's Manhattan residence, other local properties, or assist in person as needed for meetings, events, deliveries, projects, and household support.
Compensation: Up to $150K depending on experience, healthcare stipend, bonus structure, PTO, 401K
