Our client is seeking an exceptional Executive Personal Assistant to support the two managing partners of a leading, rapidly-growing personal injury law firm on site in Newport Beach, CA. This is a true right-hand role: You will build the infrastructure of a high-functioning executive office and grow into responsibilities of increasing complexity as your command of the business deepens. The right person anticipates rather than reacts, operates with high judgment instead of instruction, and understands the success in the role is ultimately measured by what the principals are freed to do.

Responsibilities:

  • Complex, competing calendars across two Managing Partners.
  • Meeting prep: Context, materials, and discussion points.
  • Meeting execution: Notes, commitments, and independent follow-through to ensure action items are completed by their assigned owners.
  • Travel, accommodations, and detailed itineraries.
  • Expenses, invoices, and daily operations of the executive office.
  • Correspondence, presentations, and reports.
  • Logistics for media appearances, speaking engagements, and firm events.
  • Personal assistance (e.g., appointments, reservations, gifts) for one Managing Partner.
  • Represent the Managing Partners with professionalism and discretion when interacting with firm leadership, team members, clients, physicians, provider groups, outside counsel, referral partners, media, and other external stakeholders.
  • Serve as an extension of the Managing Partners by exercising sound judgment, adapting communication style to different audiences, and understanding appropriate decision-making authority.
  • Manage and maintain the principals' extensive professional networks by tracking key relationships, monitoring touchpoints, and ensuring timely, thoughtful follow-up.
  • Develop and oversee systems that strengthen long-term professional relationships and support ongoing engagement with key contacts.
  • Partner closely with tenured leaders and cross-functional teams to enhance the Managing Partners' effectiveness while respecting existing workflows and organizational expertise.
  • Build strong internal relationships and establish credibility as a trusted resource and collaborative partner across the organization.
  • Act as a force multiplier by anticipating needs, driving follow-through, and increasing the overall capacity and effectiveness of the Managing Partners.
  • Foster seamless communication and collaboration between internal teams and external partners while maintaining the highest level of confidentiality and professionalism.

Qualifications

  • 5+ years supporting senior executives or business leaders.
  • Experience in professional services required; legal industry experience strongly preferred.
  • Demonstrated ability to represent an executive externally with tact and discretion.
  • Exceptional organization under competing priorities.
  • Strong meeting management: Notes, follow-through, accountability without prompting.
  • Excellent written and verbal communication.
  • Interpersonal range to build durable relationships across internal leadership and a broad external network.
  • Proactive and resourceful; comfortable operating without close direction.
  • Excellent judgment, emotional intelligence, and absolute discretion with confidential and privileged information.
  • Proficiency with Microsoft Office and AI tooling (e.g., Claude) and fluency in picking up proprietary business technology (e.g., a highly-customized Salesforce instance) required.

Location: Newport Beach, CA

Schedule: Full-time, on-site five days per week

Compensation: $130,000-$150,000 DOE, plus benefits and discretionary bonus
